You will be handling a variety of administrative tasks, including invoicing and document management whilst supporting the wider office with any ad-hoc administrative duties as required.\nWhat you’ll be doing:\nFinance & Administrative Support\n * Managing client and job records using internal systems such as ‘HubSpot’ and ‘NetSuite’.\n * Generating purchase orders and processing supplier invoices.\n * Creating and issuing client invoices, ensuring accuracy and timely delivery.\n * Maintaining and updating the monthly order book whilst assisting with job record housekeeping.\nCompliance & Regulatory Support\n * Preparing Letters of Appointment, Terms of Business, and Terms of Engagement for new instructions.\n * Assisting with Anti-Money Laundering (AML) checks, including submitting forms and supporting documents to the Compliance team.\n * Maintaining AML databases whilst updating relevant NetSuite records.\nSecretarial & Team Support\n * Providing audio and copy typing, formatting reports, correspondence, and schedules.\n * Managing diaries, scheduling meetings, and arranging appointments for the team.\n * Creating presentations and maintaining accurate electronic filing systems.\n * Overseeing key management, ensuring accurate records and regular audits.\n * Maintaining and updating the team’s CRM database (HubSpot).\nProperty Marketing Support\n * Preparing property particulars and availability schedules.\n * Maintaining electronic filing of property photographs.\n * Updating and managing property details on AgencyPilot, Costar, Agents Society, and other marketing platforms.\nAbout You:\nThe ideal candidate will have prior administrative experience, be highly organised and possess excellent communication skills. You should also be self-motivated, have strong attention to detail and thrive in a collaborative team environment.\n * Competent user of Microsoft Office Packages including Outlook, Word, Excel, PowerPoint & OneNote.\n * Strong organisation skills.\n * Ability to work independently without supervision.\n * Friendly & professional telephone manner.\n * Quick learner with new systems and software packages.\n * Previous experience within the property industry is desirable, however not essential.\nWhy Bidwells?\nWe’re a different kind of business.
